Cancellation & Refund Policy

This Cancellation & Refund Policy outlines the terms relating to memberships, bookings, cancellations, refunds, and account changes at Hydro Healing.

By purchasing a membership, booking a service, or using our facilities, you agree to this policy.



Memberships

Memberships are personal and non-transferable.

Memberships may not be shared, sold, assigned, or transferred to another individual without written approval from Hydro Healing.

Members are responsible for managing their membership and payment details through GymFlow or any designated membership platform.

Membership fees already paid are generally non-refundable except where required by law.



Membership Cancellations

Members may cancel their membership in accordance with the membership agreement applicable at the time of purchase.

Cancellation requests should be submitted through GymFlow or by contacting Hydro Healing directly.
Memberships remain active until the end of the applicable billing period unless otherwise agreed.



Membership Freezes

Hydro Healing may, at its discretion, allow temporary membership freezes in circumstances such as:

- Injury
- Medical conditions
- Extended travel
- Exceptional personal circumstances

Requests should be submitted before the requested freeze period begins.

Approval is not guaranteed and may require supporting documentation.



Bookings

All bookings are subject to availability.

Bookings may be made through GymFlow or other approved booking systems.

Members and guests are responsible for ensuring booking details are correct before confirming a reservation.



Booking Fees for Non-Members

Individuals who are not active members may be required to pay a £10 booking fee when reserving classes, recovery sessions, or other eligible services.

The booking fee secures the reservation and helps ensure fair access to services for all guests.




Cancellation of Classes and Recovery Sessions

- Classes, gym sessions, sauna sessions, cold plunge sessions, and general recovery bookings may be cancelled without penalty up to 24 hours before the scheduled start time.
- Cancellations made less than 24 hours before the scheduled start time will be treated as a late cancellation.
- For non-members, the £10 booking fee will not be refunded for late cancellations.



Cancellation of Massage Appointments

- Massage appointments require a minimum of 48 hours' notice for cancellation or rescheduling.
- Cancellations made less than 48 hours before the appointment will be treated as a late cancellation.
- Hydro Healing reserves the right to retain any booking fee, deposit, or appointment payment associated with the booking.



No-Shows

Failure to attend a booked class, session, or appointment without providing the required notice will be considered a no-show.

For non-members:
- The £10 booking fee is non-refundable.
- No credit or alternative booking will be provided.

For members:
- The booking may be recorded as a no-show or late cancellation.
- Repeated no-shows or late cancellations may result in booking restrictions.

Hydro Healing reserves the right to restrict booking privileges where repeated no-shows occur.



Member Attendance Policy

Hydro Healing encourages members to cancel or reschedule bookings if they are unable to attend.

If a member repeatedly books sessions and:

- Does not attend,
- Fails to cancel within the required notice period, or
- Repeatedly misses booked sessions,


the following policy may apply:
- Members will receive up to four no-shows or late cancellations.
- Following the fourth no-show or late cancellation, Hydro Healing may temporarily remove the member's advance booking privileges.
- During this period, the member may still attend classes, gym sessions, recovery sessions, sauna sessions, and cold plunge sessions by arriving in person and joining available sessions where capacity permits.
- Advance booking privileges may be reinstated at Hydro Healing's discretion following a review of attendance history.

This policy helps ensure fair access to bookings for all members and prevents spaces being reserved and left unused.



Refunds

Refunds are generally not provided for:

- Missed classes or appointments
- No-shows
- Late cancellations
- Unused memberships
- Partially used memberships
- Services already provided

For non-members, the £10 booking fee is non-refundable in the event of a no-show or late cancellation.

Refund requests due to exceptional circumstances will be considered on a case-by-case basis.
Any approved refund may be subject to deductions for services already used and applicable administrative costs.



Facility Closures

Hydro Healing reserves the right to temporarily close facilities due to:
- Maintenance
- Repairs
- Health and safety requirements
- Staff shortages
- Events beyond our reasonable control
- Temporary closures do not automatically entitle members or guests to refunds unless required by law.



Promotional Offers

Discounted memberships, promotional offers, introductory packages, and special event bookings may be subject to additional terms and conditions.
Unless otherwise stated, promotional purchases are non-refundable.


Hydro Healing Cancellations

Hydro Healing reserves the right to cancel, reschedule, or modify bookings where necessary for operational reasons.
Where Hydro Healing cancels a paid booking, an alternative booking, account credit, or refund may be offered at our discretion.



Consumer Rights

Nothing in this policy affects your statutory rights under applicable consumer protection laws in England and Wales.
